One Size Party Tent Does Not Fit All!

If you are considering buying or renting a party tent for an outdoor event it is crucial to put a lot of forethought into what size tent you should order. Figuring out how large a tent you need for your next private or corporate event is not just a function of the number of guests you are inviting. Several other inter-related factors also have to be taken into account to ensure that your guests are safe and comfortable at all times and that your event is a resounding success.

Of course, the number of guests you anticipate inviting to an event is an important factor, but ultimately the optimum tent size depends on the type of event you are organizing and whether your guests are expected to be standing or sitting. As a general proposition, cocktails and similar type events which offer no seating to guests require approximately 8 to 10 square feet per person. The same is true of events providing linear seating arrangements such as multiple rows of chairs used for church ceremonies, presentations or live entertainment. However, if you are seating your guests around round tables, banquet tables, using serpentine tables to create more elaborate seating arrangements or are planning a dancing and disco style party you should consider allocating roughly 12 to 15 square feet per person.

This is just a rule of thumb and you may need to adjust how much space your guests truly need by being sensitive to their particular physical characteristics. For example, if a large number of guests are children, a slightly smaller tent might be sufficient to accommodate all your guests comfortably. However, if you are planning an adult only event, you should consider aiming for a slightly more spacious tent to ensure that all your guests feel comfortable.

Another crucial factor that impacts tent size is the type of entertainment planned for guests. Dancing floors, bars, buffet tables, staging, platforms and podiums occupy a lot of space. If you focus exclusively on the number of invited guests without adding sufficient room for equipment and entertainment your guests may find it difficult to move safely and comfortably. Do not forget to include waiters, bartenders, musicians and other personnel! They need room to operate safely as well without bumping into your guests.

Once you have a rough idea of the total number of guests, the personnel and the type of seating arrangements and entertainment you want to offer, you should be able to figure out how big a tent you need. For instance, if you are planning a standing party for 200 guests and no other form of entertainment, you will need a tent that is at least 30×75 feet covering 2250 square feet. However, if you are inviting your guests to sit around tables you will need a tent that is at least 40×80 and covers 3200 square feet. Should you also wish to include a 12×16′ dance floor, you will naturally need to increase the tent size to 40×100 feet. In the alternative, you may wish to set up a separate tent next to the main event tent for dancing.

There are several industry standard tent sizes available, and if you need special sizes, you can also order custom made party tents from a tent manufacturer specializing in custom tents and tent-tops. However, before you order anything, make sure that the venue you have selected can accommodate your desired tent size. Do not forget that pole tents generally require an additional 8 feet all around their perimeter for staking and that frame tents also require additional space for positioning weights.
